Safety, confidentiality and professional care

In my practice, safety, respect, confidentiality and professional care come first. Personal data is handled with the greatest possible care and processed in accordance with the General Data Protection Regulation (GDPR).

As a therapist affiliated with the Collective of Alternative Therapists (CAT), I work in accordance with the applicable code of conduct, quality guidelines and laws and regulations that apply to complementary care.

This privacy statement describes which data is processed, why it is processed and how it is handled.

Why is personal data processed?

In order to carry out treatments, coaching, vitality sessions and other forms of guidance safely, carefully and professionally, it is necessary to process certain personal data.

This data is used exclusively for:

  • carrying out treatments, coaching and guidance
  • conducting an intake and case history
  • safeguarding safety and identifying possible contraindications
  • scheduling and managing appointments
  • maintaining proper administration
  • maintaining contact with clients
  • complying with legal obligations

Data is never used for purposes other than those for which it was provided.

Which data is processed?

Depending on the service provided, the following data may be processed:

Personal data

  • First and last name
  • Address details
  • Telephone number
  • Email address
  • Date of birth

Intake and case history data

  • Data relevant to the safety of treatments and guidance
  • Any contraindications or points of attention
  • Information provided voluntarily by the client

Administrative data

  • Invoicing details
  • Appointment history
  • Correspondence relating to appointments

Intake and case history

Prior to a first treatment or guidance programme, an intake and, if necessary, a case history form are used.

The purpose of this is:

  • to safeguard the safety of the client
  • to identify any contraindications in good time
  • to carefully tailor the guidance or treatment
  • to determine whether participation is possible in a responsible manner

The intake and case history are not a medical diagnosis and do not replace examination or assessment by a doctor or other healthcare professional.

Where necessary, you will be advised to contact a general practitioner, specialist or other qualified healthcare provider.

Consent

By completing an intake or case history form and entering into a treatment or guidance programme, the client gives consent for the processing of the data provided, insofar as this is necessary for the safe and professional delivery of the service.

In doing so, the client declares that they have completed the information provided correctly and fully to the best of their knowledge.

Confidentiality

All information shared during conversations, sessions, coaching, treatments, intake interviews and case history forms is treated in strict confidence.

Personal data is not sold, rented out or shared with third parties without consent, unless this is required by law.

Where consultation with another healthcare provider is desirable or necessary, this takes place only after the client has given consent.

Record keeping

For careful practice management, a client record may be kept.

This contains only data that is relevant to:

  • the guidance or treatment
  • the safety of the client
  • the professional delivery of the service
  • statutory administrative obligations

Records are stored securely and carefully and are used solely for the purposes for which they were recorded.

Retention period

Personal data is not kept for longer than is necessary for the purpose for which it was collected or for as long as is legally required.

Once the statutory retention periods have expired, data is erased or destroyed.

Data security

Appropriate technical and organisational measures are taken to protect personal data against:

  • loss
  • unauthorised access
  • misuse
  • alteration
  • unauthorised disclosure

All data is handled with the greatest possible care.

Clients' rights

Clients have the right to:

  • access their personal data
  • have incorrect data corrected
  • have data erased insofar as this is legally possible
  • object to the processing of data
  • request a restriction of the processing

Requests can be submitted in writing or by email.

Companies and organisations

When sessions take place within companies or organisations, personal intake and case history data is used solely to assess safety, capacity and suitability for participation.

Employers, managers or clients do not receive any personal health information about employees, unless the employee concerned has given explicit consent in advance.

The confidentiality of personal data remains safeguarded at all times.

Quality, professional ethics and the CAT Collective

I am affiliated with the Collective of Alternative Therapists (CAT) and work in accordance with the applicable code of conduct, quality guidelines and professional standards maintained within the CAT.

This means, among other things:

  • working within the limits of my expertise
  • attention to safety and contraindications
  • careful intake and case history
  • respect for privacy and confidentiality
  • transparent communication
  • timely referral when appropriate

For me, quality means not only professional knowledge, but also attention, integrity, respect and creating a safe environment in which clients feel heard and taken seriously.
